Creating SOPs
Create new standard operating procedures using AI-assisted generation, document upload, or manual writing.
Three ways to create an SOP
ChairPulse offers three paths for creating standard operating procedures. Each method is designed for a different workflow, so you can choose the approach that works best for your situation.
To start, navigate to Knowledge > SOP Library tab and select Create New SOP, or navigate to the creation page directly. You will see the path selection screen with three options.
AI-Assisted Generation
Recommended -- Takes about 5-10 minutes.
Answer a few questions and let AI generate a complete, structured SOP tailored to your needs. This is the most popular method and produces production-ready SOPs with step-by-step instructions, safety considerations, troubleshooting guidance, and checklists.
Select AI-Assisted Generation
On the path selection screen, select the AI-Assisted Generation card. It is marked with a Recommended badge.
Follow the guided wizard
The AI wizard walks you through several steps to gather context about your SOP. See the AI SOP Generation page for a complete walkthrough of each step.
Review and save
After generation, review the AI-produced content. You can view the SOP, edit it in the editor, or create another SOP.
AI SOP generation uses your monthly generation credits. Essential tier gets 25 generations per month; Professional tier gets unlimited generations.
Upload Document
Takes about 2-5 minutes.
Upload an existing PDF or Word document and ChairPulse will convert it into a standardized SOP format. This is ideal when you already have procedures documented elsewhere and want to bring them into ChairPulse.
Select Upload Document
On the path selection screen, select the Upload Document card.
Set up basic information
Provide an optional title (the system will extract one from your document if you skip this), and specify what the SOP is about -- existing equipment, equipment not in your inventory, or a general procedure.
Upload your file
Upload a PDF or Word document containing your existing procedure.
Choose enhancement mode
Select how the system should process your document:
- Preserve -- Keep the original content structure as-is
- Enhanced -- Let AI improve formatting and add structure
Review and save
Review the parsed content. You can save the SOP directly or select Edit in Editor to make changes before saving.
Write Manually
Time varies based on content length.
Start with a blank template and build your SOP from scratch using the guided form editor. This gives you full control over every section of the procedure.
Select Write Manually
On the path selection screen, select the Write Manually card.
Set up basic information
Enter a required title for your SOP and specify what it is about -- existing equipment, equipment not in your inventory, or a general procedure.
Write in the editor
The SOP editor opens with a guided form where you fill in structured sections:
- Title -- The SOP name
- Category and Subcategory -- Organizational classification (Usage, Maintenance, Safety, or Compliance)
- Link to Equipment -- Optionally associate with equipment in your inventory
- General Category -- For non-equipment SOPs, select from categories like infection control, patient care, or administrative procedures
- Purpose -- What this SOP accomplishes
- Steps -- The step-by-step procedure
- Safety Considerations -- Warnings and safety notes
- Troubleshooting -- Common problems and solutions
You can also select AI Assist at any time to get help from the AI wizard.
Save your SOP
Select Save SOP when you are finished. The SOP must have a title, purpose, and at least one step to save.
Context options
Regardless of which creation path you choose, you specify what your SOP is about using one of three context types:
- Existing Equipment -- Link the SOP to equipment already in your inventory. The system pulls in equipment details to provide better AI-generated content.
- Equipment Type (not in inventory) -- Manually specify the equipment type, manufacturer, and model when the equipment is not yet registered in ChairPulse.
- General Procedure -- For SOPs not related to specific equipment, such as infection control protocols, patient intake procedures, or administrative workflows.
Creating SOPs from a training path
When you are adding SOPs from within a training path, the creation flow includes an additional option:
- Link Existing SOPs -- Browse your SOP library and add procedures you have already created to the training path.
The creation flow also automatically links the new SOP to the training path when saved, and shows context about the training path (name, goals, target audience, difficulty level) to help guide content creation.
