Manage your preferred technicians, repair companies, and service vendors within ChairPulse.
Managing service providers
Service providers are the technicians, repair companies, and service vendors that your practice works with for equipment maintenance and repairs. Keeping an up-to-date list of service providers in ChairPulse makes it easy to reference their contact information when logging tech visits and resolving issues.
Access the service providers list from the Service Technicians tab in Office Settings.
The service providers table
The Service Providers card displays all providers for your current office in a table with the following columns:

| Name | The technician's name, with a "Preferred" badge (gold star) if marked as preferred |
| Company | The service company name |
| Specialty | The provider's area of expertise (e.g., "Dental Chairs", "X-Ray") |
| Contact | Quick-action icons for calling (phone), emailing (mail), or visiting their website (globe) |
| Actions | Three-dot menu with Edit and Remove options |
Providers marked as Preferred are sorted to the top of the list.
Adding a service provider
Click Add Provider
Click the Add Provider button in the top right of the Service Providers card. This opens the Add Service Provider dialog.
Enter the technician's name
The Technician Name field is required. Enter the individual technician's name (e.g., "John Smith").
Enter the company name
Optionally enter the Company Name (e.g., "ABC Dental Services").
Add contact information
Fill in any of the optional contact fields:
- Phone -- The technician's phone number
- Email -- Their email address
- Website -- Their company website URL
Set a specialty
Optionally enter their Specialty (e.g., "Dental Chairs", "X-Ray", "Autoclaves").
Add notes
Use the Notes field for any additional information about this provider (e.g., "Available weekends", "Prefers email contact").
Mark as preferred (optional)
Toggle the Preferred Provider switch to mark this provider as a go-to contact. Preferred providers appear at the top of the list.
Click Add Provider
Click Add Provider to save. The provider immediately appears in the table.
Editing a service provider
Click the three-dot menu on any provider row and select Edit. The same dialog opens with all fields pre-filled. Make your changes and click Save Changes.
Removing a service provider
Click the three-dot menu on any provider row and select Remove. The provider is deleted immediately.
Removing a service provider does not affect existing tech visit records or invoice data that reference that provider. Historical data is preserved.
Auto-suggested providers from invoices
When you upload an invoice that identifies a new vendor not yet in your service providers list, ChairPulse can automatically suggest adding them. In the Invoice Details modal, you will see a prompt:
"Save this vendor as a service provider? Add [Vendor Name] to your contacts for easy access next time."
Click Add to Service Providers to create the provider entry automatically with the name, phone, and email extracted from the invoice.
How service providers connect to issues
Service providers are referenced in several places throughout ChairPulse:
- Tech visit records -- When logging a technician visit on an issue, you can select from your service providers list.
- Invoice reconciliation -- ChairPulse compares the vendor name on invoices against your service providers and tech visit records.
- Issue resolution -- Knowing which providers specialize in which equipment helps you assign the right technician for the job.
