MaintenanceRoom View

Room View

View your maintenance schedules organized by room and room category, with shared task detection and room-level assignment.

See maintenance by location

The Room view (labeled Rooms in the view toggle) organizes all maintenance schedules by the room where their associated equipment is located. This gives your team a location-first perspective -- useful for morning walkthroughs, room audits, or assigning responsibilities by area.

Navigate to Maintenance and select Rooms from the view toggle in the Active Schedules card header. This is the default view.

How rooms are grouped

Rooms are organized into category groups based on room type. Each group has:

  • A category label in uppercase (e.g., "OPERATORIES", "STERILIZATION", "MECHANICAL ROOMS")
  • A room count badge showing how many rooms are in the group
  • A horizontal divider line

Within each group, individual room cards are displayed vertically.

The grouping follows the same room category configuration used elsewhere in ChairPulse. Rooms with no assigned category appear under a general group.

Room cards

Each room card displays:

  • Room name as the card header (e.g., "Op 1", "Sterilization Room")
  • Room type icon -- a visual indicator based on the room type
  • Today's assignee -- if a team member is assigned to this room for today via the room assignment schedule, their first name appears on the card
  • Task list -- up to 4 maintenance tasks visible directly on the card

Task rows

Each task row within a room card shows:

  • An icon indicating task type (wrench icon for equipment tasks, checklist icon for checklist tasks)
  • The task description (e.g., "Run weekly spore test on autoclave and log results")
  • The frequency label in small uppercase text (e.g., "WEEKLY", "DAILY")

Click any task row to open the schedule editing dialog for that task.

If a room has more than 4 tasks, a "View all" option appears to expand and see the complete list of tasks in a slide-out sheet with full task cards including status badges and action buttons.

Shared tasks

When you create a shared maintenance task that spans multiple pieces of the same equipment, the Room view displays it in a dedicated shared task card at the top of the room category group.

The shared task card shows:

  • A "Shared Tasks" header label
  • An emerald coverage badge indicating how many rooms are covered (e.g., "All 7 operatories" or "3 operatories")
  • Each shared task with its description, frequency, linked SOP indicator, evidence requirements, and assigned staff avatars

Interacting with shared tasks

  • Click the shared task card to open the Shared Task Detail Sheet, where you can see per-equipment status, change per-equipment assignees, assign staff to specific dates, and access the full edit dialog
  • Click "Edit shared task" in the detail sheet to open the Edit Maintenance Schedule dialog with two tabs: Details (schedule settings) and Operatories (linked equipment management)

Room-specific tasks that are not shared continue to appear on each individual room card. If all of a room's tasks are shared, that room card is hidden to reduce visual clutter.

Shared tasks let you manage per-equipment assignment overrides without leaving the Room view. Click into the shared task detail sheet, then click the pencil icon on any equipment row to change its assignee independently.

For the full guide on creating, editing, and managing shared tasks, see Shared Maintenance Tasks.

Filtering in Room view

The Room view uses a simplified frequency pill filter instead of the full filter bar:

PillWhat it shows
AllAll maintenance schedules
DailyOnly daily schedules
WeeklyOnly weekly schedules
MonthlyOnly monthly schedules
OtherBi-weekly, quarterly, semi-annual, annual, custom, and one-time schedules

Select a pill to filter all room cards to show only schedules matching that frequency. Select All to reset.

The Room view automatically resets the search, room, status, and assignee filters when you switch to it. This is because the room grouping already organizes schedules spatially, making those filters redundant.

Empty state

If no schedules exist or no schedules match the active frequency filter, the Room view shows a centered message: "No schedules to display".

Editing schedules from Room view

Click any task row in a room card to open the Edit Maintenance Schedule dialog. From there you can change the task description, frequency, assignee, linked SOP, and other settings.

The "Today's assignee" shown on room cards comes from the room assignment schedule configured in Office Settings > Assignments. See Room Assignments to learn how to assign staff to rooms by day of week.
