Reports Overview

View task completion trends and staff workload summaries to monitor practice operations and team performance.

What are Reports?

The Reports page provides data-driven insights into how well your practice is keeping up with its maintenance and checklist tasks. It helps office managers and practice owners understand task completion rates, identify bottlenecks, and monitor team performance.

Navigate to Reports from the main sidebar.

Report types

The Reports page has two tabs:

Task Completion

The Task Completion report shows how many tasks were completed, missed, overdue, or excused over a selected time period. It covers both maintenance tasks and checklists.

Time period selector

Use the dropdown in the top right to choose a reporting period:

  • Last 7 days -- Short-term view for daily operations review
  • Last 30 days -- Standard monthly performance review
  • Last 90 days -- Quarterly trend analysis

Summary cards

Six cards at the top provide an at-a-glance overview:

Total TasksThe total number of task instances in the selected period
CompletedTasks that were completed on time or late
OverdueTasks that are past due but not yet completed or missed
MissedTasks where the due date passed without completion
ExcusedTasks that were missed but subsequently excused by an admin or manager
Completion RatePercentage of tasks completed out of total actionable tasks. Color-coded: green (80%+), amber (50-79%), red (below 50%)

Completion by Room

A table breaking down task performance per room, showing:

  • Room name
  • Total tasks
  • Completed count
  • Overdue count
  • Missed count
  • Excused count
  • Completion rate with a color-coded progress bar

This helps you identify which rooms or areas of your practice are keeping up with their tasks and which need attention.

Completion by Team Member

A table breaking down performance per team member, showing:

  • Team member name
  • Total tasks assigned
  • Completed on time
  • Completed late
  • Overdue
  • Missed
  • Excused
  • Completion rate with a color-coded progress bar

Unassigned tasks appear highlighted in amber. A high count of unassigned tasks may indicate that you need to set up default assignees for your rooms or individual schedules.

Staff Workload

The Staff Workload tab provides a real-time view of how tasks are distributed across your team. Unlike the Task Completion report which looks backward at historical data, Staff Workload shows current task distribution.

The table displays one row per active staff member with:

Missed (30d)Tasks missed by this person in the last 30 days
Completion RatePercentage of tasks completed vs. total handled. Color-coded badge: green (80%+), amber (50-79%), red (below 50%)

If there are unassigned pending or overdue tasks, an Unassigned row appears at the bottom of the table with a red badge showing the count.

Use the Staff Workload tab during team meetings to review task distribution. If one team member has significantly more active tasks than others, consider using Bulk Reassign to rebalance the workload.

  • Checklists -- Manage the recurring tasks that feed into these reports.
  • Maintenance -- Equipment maintenance schedules also appear in Task Completion reports.
  • Team Management -- Manage the staff members tracked in these reports.
