Task Templates

Use the Task Template Library to quickly set up pre-built maintenance tasks from ChairPulse's curated collection of dental office task templates.

Quickly set up maintenance with pre-built templates

The Task Template Library provides a curated collection of maintenance task templates designed specifically for dental practices. Instead of building every maintenance schedule from scratch, you can browse templates by category, select the ones relevant to your practice, and have the task description, frequency, and time-of-day pre-filled automatically.

Select the Templates button in the Maintenance page header to open the library.

Opening the Template Library

There are two ways to access the Task Template Library:

  • Select the Templates button (with a book icon) in the Maintenance page header
  • The library also reopens automatically after you save a template-based task, so you can quickly add multiple templates in succession

Browsing templates

The template library dialog contains:

Type in the Search templates... field at the top to filter templates by title or description. Results update instantly as you type. If no templates match your search, a message reads "No templates match [your query]".

Category filter pills

Below the search bar, a row of category pills lets you filter templates by category. Select All to see every template, or select a specific category to narrow the list. Each pill shows the category icon and label.

The available categories are:

Each category header shows a count badge indicating how many templates are in that category.

Template cards

Templates are displayed in a 2-column grid within each category. Each template card shows:

  • Title -- The template name (e.g., "Autoclave Spore Test")
  • Description -- A brief explanation of the task (e.g., "Run weekly spore test on autoclave and log results")
  • Frequency -- The recommended frequency (Daily, Weekly, Monthly, Quarterly)
  • Time of day -- When the task should be performed (Start of Day, Morning, Midday, End of Day), if applicable
  • Equipment badge -- An "Equipment" badge appears if the template requires linking to a specific piece of equipment
  • Plus icon -- Click anywhere on the card to select the template

Selecting a template

Browse or search for a template

Use the category pills or search bar to find the template you want. Each category is color-coded for easy visual scanning.

Click the template card

Select a template card to close the library and open the Add Maintenance Schedule dialog with the template's values pre-filled: description, frequency, and time of day.

Complete the schedule setup

The Add Maintenance Schedule dialog opens with the template data already populated. You still need to:

  • Select the equipment this task applies to
  • Set the first due date
  • Optionally assign a team member
  • Optionally link a Standard Operating Procedure (SOP)
  • Adjust the frequency or description if needed

Select Save to create the schedule.

Continue adding templates

After saving, the Task Template Library automatically reopens so you can select another template without navigating back manually.

Equipment vs. general tasks

Templates are classified as either:

  • Equipment tasks -- These require linking to a specific piece of equipment (e.g., "Autoclave Spore Test" must be linked to an autoclave). These templates show an "Equipment" badge on the card.
  • General tasks -- These are office-wide tasks not tied to specific equipment (e.g., "Restroom Check", "Morning Team Huddle"). These do not show an Equipment badge.

When you open the template library from the Maintenance page, it shows templates filtered to the appropriate type based on context.

Customizing frequency

When you select a template, the pre-filled frequency is a recommendation. You can change it during schedule setup using the Frequency selector, which offers these options:

For daily frequency, you can select specific days of the week. By default, Mon--Fri (weekdays) are selected. Tasks will only be flagged on the selected days. This is useful for tasks that do not apply on weekends when the office is closed.

Creating custom maintenance tasks

If no template matches your needs, you can create a fully custom maintenance task:

Open the Add Maintenance Schedule dialog

Select the Add Maintenance Task button in the Maintenance page header. This opens the schedule creation dialog without any pre-filled values.

Fill in the task details

Enter the task description, select the equipment (or leave blank for a general task), choose a frequency, set the first due date, and optionally assign a team member and link an SOP.

Save the schedule

Select Save to create the custom maintenance schedule. It will immediately appear in your calendar and room views.

Bulk reassignment

To reassign multiple maintenance tasks to a different team member:

Select the Reassign button in the Maintenance page header to open the Bulk Reassign dialog. From there, you can filter and select schedules to reassign in bulk.
